web page upload instructions for writers

The site allows easy addition of new web pages via our content management system or CMS. You will be given the web address, user name and password for the CMS.

These instructions describe the process for adding new pages to the Fast Property Solutions and associated web sites using the CMS. The sites are already constructed to automatically add new pages in to the tiered structure. The first tier is the home page. The second tier contains the main themed pages. The third tier consists of the new content pages. These instructions describe the process of adding new second and third tier content pages.

New pages will be based on a theme and several keywords to tie in with a particular web site or second tier page theme page. The choice of keywords will often set the theme for the individual page, and therefore which category of page you will be adding.

We now assume the content for a new page has been written, and you have this text file open ready for adding the page via the CMS, and you have been given the theme and keywords of this text. Additionally you have accessed the CMS, and you have open the 'add new webpage' screen.

You will see there are a number of fields that must be filled in. All fields are required. You must not miss out any fields. Once you have filled in the data you can click submit at the bottom of the form to upload this page and make it live. Do not worry if you make any mistakes, as you can access every page and you can make updates at any time by accessing the 'review webpages' screen.

The first two items you must decide on are the most important, and must also be unique within this site. These are the URL (the web page address) and the page title. From the keywords and theme, you must carefully choose the best URL and title to describe this page of text. But before you add this to to the site, you must check you have chosen both a unique URL and unique page title. Please click the 'review webpages' link at the top of the add webpage form. This will take you to the current list of web pages on this site. Check and make sure you are not duplicating either the URL or the title, or you will have to alter your chosen URL and title to something new. If you need to look more closely at any of the web pages click the link to that particular page number (page numbers are automatically allocated by the system) to go to the 'update' screen. Once you are satisfied you have something unique for your new page, you may then go back to the 'add webpage' screen and begin entering the data, starting with your chosen URL and page title.

1. URL. This must be unique from the others on this site. Check the existing pages before choosing this URL. Make sure the URL contains all of this page's keywords, and if necessary an extra word or two to make this URL unique from the others on this site. It is important to note, the URL must be added with no spaces, in lower-case, with a '-' hyphen (dash) between the words. The URL must end with '.html'. For example the-new-page.html would be a possible URL. Do not miss out the . (dot or full stop) before the html part. If you miss any of these features from the URL, the web page will not be added to the web site.

2. Page Title. This must be unique from the other pages on this site. Check the existing pages before choosing this title. Please write the shortest title that still conveys the meaning of this page to the search engines. Keep the most important words to the front where possible. Avoid too many 'filler' words such as 'and', 'in', 'of', 'the', etc. The page title does not appear on the page itself, but is seen by the search engines, and appears at the top of the browser window.

3. Meta description. A one or two sentence description of this web page. This description should expand on but never repeat word for word the page title. It is shown to people who are doing a search on Google, and therefore it is important to write a good description that will encourage people to click on this page. On some texts the description will have already been provided for you by the writer. The meta description is seen only on the search engines and not when the page is viewed.

4.H1 page title. This is displayed on the page itself, at the top, and can be read by the viewers. It is the most important of on-page content. Write a descriptive h1 title. You may use a few more words than the search engine page title here, although sometimes you may decide to repeat the page title in the h1 page title, and in most cases this would be acceptable also.

5. H2 title. This is the lower header, and displayed on the page beneath the logo area. Please do not repeat either of the page titles, but give the H2 title a slightly different description of the page. This will be the main focus of the page when someone clicks on the page. It has a similar use to the meta description, and so should encourage the viewer to read more of the page.

6. Page category. This will decide which of the second tier pages your new page is linked to and from. Just choose the most appropriate if this has not been specified or add the page as a main page behind the fist tier if instructed to do so.

7. Page summary paragraph. This description is found on the pages that will link to your new page, such as the sitemap page. This description should have a similar content to the H2 title and the meta description, and should not repeat either of the page titles. The page title itself will make that link. One or two short sentences are best here.

8. Main text. This is where the text is pasted in. At this point you will need to add some formatting to the text. As you can see from the list of instructions on the page, by adding a few tag items you can alter how the code will display when the page loads. It is very important the tag items are inserted exactly as shown, or the page code will break down and the page will be displayed incorrectly, and any validation checks will fail.

These codes are:

Paragraph. Insert [[p]] tag wherever you want one paragraph to end, and a new one to start, in the single line space between the two paragraphs. This will add a line of space in the page.

End of line break. Insert [[br]] tag wherever you want the current line to stop and a new line to begin, without starting a new paragraph.

Website name. Insert [[website_name]] tag if the page text refers to the web site.

Area name. Insert [[area_name]] wherever you can, and as much as possible, if the web site is split by areas. The area name inserts the name of the town where the viewer is, directly in to the page. Any part of the text that will allow you to add this must be used, as it will improve the local search engine presence of the site. Be careful to ensure the places you insert the area name still make good reading.

Bold. Insert two tags directly in front and behind any portion of text you wish to make bold. You must include both the opening and the closing tags as shown: [[strong]]this text is bold[[/strong]] and this text is normal. If you miss out the closing bold tag, or miss out the '/' slash in the closing bold tag, the page will break down, not display properly, and any validation checks will fail.

9. Upload the page by clicking submit. You can see the page has been correctly uploaded on the 'review webpages' screen. You can also make updates to any web page from this screen. Please also view the full web page on the live site, to ensure you have correctly formatted the page.

Uploading Validation Problems - Character Encoding

It is important to check each page for validation once it has gone live. You must view the page on the live site, (go to the sitemap to find the new page) and click the XHTML validation button near the bottom of the page you have uploaded. If the page cannot be verified you have allowed an incompatible character from your Word document to be uploaded. You will be able to see problem characters on the live page as a small box within the text. The main characters that cause this are apostrophes, hyphens, currency symbols, & (ampersands) and sometimes even a blank space. The apostrophes and hyphens used in word are simply incompatible with our web page (UTF-8 Character Encoding to be technical).

You must review this web page, find the problem characters, and very simply, delete them and type them straight back in to the form. When you type them directly in to the web page form, the web page form automatically inserts the correctly encoded character, and the web page will now validate correctly. If the problem character is a space, simply delete the space, so that the two words join together, and press the space bar again to re-insert the space. If the problem character is either a currency symbol or an & you must write in a specific code for that individual character:

Any other problem characters please email Simon.
